Documents needed to rent in the Netherlands: a checklist
Prepare the right documents, ask clear questions and share only what your rental application needs.

Start with evidence of your work and income, a short household introduction and a way to verify your identity. Then use the landlord's actual request to decide what to share.
For private rentals in the Netherlands, use the property’s document requirements to build your checklist.
Start with the property's request
Before collecting files, save the original listing and check the application instructions. Write down the income criteria, intended household, move-in date and submission method. Ask for the document list if it is missing.
Separate the process into three questions:
- What do I need to request a viewing? This may be different from the information needed for a full application.
- What evidence does this agent accept? Confirm the document type, how recent it must be and whether translations are needed.
- Where should I send it? Verify the agency and use its stated application channel.
For your first message, use the first message to a landlord template. Keep it relevant to the home rather than attaching your entire document folder.
Documents to prepare
For an employed applicant, useful files to locate include recent payslips, an employer's statement (werkgeversverklaring) and evidence of salary arriving in your account. Check what the agent needs before requesting a new statement from HR.
As one concrete example, Vesteda's document requirements list three recent payslips, an employer's statement and a bank statement showing salary for employed applicants. Its self-employed checklist instead includes a recent Chamber of Commerce registration, two years of accounts and tax returns.
Use those categories to organise your preparation:
- Employment and income: locate the evidence relevant to your situation. Ask which period the agent wants and what must remain visible.
- Identity: have a valid identity document available for verification. Read the guidance below before making or sending a copy.
- Household and timing: prepare a truthful introduction with the number of residents, intended move-in date and viewing availability.
- Additional requests: put anything specific to the property on a separate list. Do not collect references, permits or a guarantor's records just because a generic checklist mentions them.
If your situation is different
Starting a new job or moving from abroad
Ask what the agent will accept before your first payslip is available. You can offer to provide your signed employment contract or an employer's confirmation, but let the agent confirm whether that satisfies its assessment. Ask about language and translation requirements before paying for translations. If you are not yet registered at a Dutch address, read how registration and the BSN work for renters.
Self-employed or earning a variable income
Ask which accounting periods and income calculation apply. Prepare a list of the records you have, rather than assuming turnover will be treated as salary. If your business is new, explain the available history and ask whether the property can be considered on that basis.
Applying with someone else or using a guarantor
Confirm whether both incomes count, whether each applicant must submit separately and whether a guarantor is accepted at all. Ask that person before sharing any of their information. See how landlords count two incomes and guarantors.
Being asked to use a verification app
Follow the actual process for that listing. For example, Vesteda offers Ockto for some properties, with manual submission as an alternative. It says some circumstances still require extra documents. Check what information will be shared, who receives it and whether an alternative is available if the app does not fit your situation.
Check the request before sharing ID
Proving who you are and handing over a full copy of your ID are different things. Government.nl explains that only certain organisations may require an ID copy. Ask why a copy is needed, what details are necessary and whether showing the document or recording limited details would be sufficient.
If you do provide a copy, follow the government's guidance on preventing misuse: conceal unnecessary information, including the BSN where applicable, and mark the copy with its recipient or purpose and the date. Check every place the number appears; covering only one printed field may leave it visible elsewhere.
The official KopieID app can hide details and add a watermark. Which details to hide depends on the recipient and purpose.
Keep originals and submission copies separate
Create one private folder for originals and a separate folder for the files you have prepared for a specific application. This makes it easier to see what you intend to share.
Use descriptive filenames such as payslip-2026-08.pdf or employer-statement-2026-09.pdf. Keep identity numbers out of filenames. Follow the portal's file format and size requirements, and open each final file to check that it is readable and complete.
Keep a small sending log: property, recipient, files shared, date and next action. For example, record “income evidence uploaded through the agency portal” rather than copying the document's personal information into your tracker.
Your checklist before sending
- I checked the original listing and who is handling the application.
- I confirmed the documents needed at this stage.
- I checked the requested dates, file formats and size limits.
- I reviewed each file for unnecessary personal information.
- I prepared any ID copy for this recipient and purpose.
- I obtained permission before sharing another applicant's records.
- I opened the final files and checked that the required information is readable.
- I recorded what I sent and the next step.
Download the checklist as a text file and adapt it for each property. It includes a blank document tracker; keep your completed version private.
A message when the requirements are unclear
Replace the bracketed details before sending:
Hello [agent's name],
I am interested in [property address or reference]. Could you confirm which documents you need at this stage, how recent they must be and the secure submission method?
My situation is [one relevant detail, such as starting a new job]. I can provide [available evidence]. Would that be suitable for your assessment?
If you need an ID copy, please confirm the purpose and which details must remain visible.
Thank you, [name]
